Payments: Using AI Pre-Fill

Save time and improve accuracy by letting AI automatically extract payment information from your invoices and documents

Overview

Managing payment details for construction projects can be time-consuming and prone to manual entry errors. Mastt's AI Pre-Fill feature streamlines this process by automatically extracting payment information from your PDF invoices and documents. This article will guide you through the process of adding payment details using Mastt's innovative AI Pre-Fill functionality, helping you save time and improve data accuracy.

Prerequisites

  • AI Pre-fill access (contact your Customer Success Manager if you need access)

  • Active Mastt user account with appropriate permissions

  • PDF invoice or payment document ready for upload

  • Access to the relevant project

Key Concepts

  • AI Pre-Fill - Technology that extracts payment information automatically from uploaded PDF documents

  • Payment Details - Essential information including payment amount, date, contract references, and status

  • Draft Status - Initial payment status before processing or finalization

Step-by-Step Instructions

1. Access Payments

  • Log into your Mastt account and select your Project

  • Navigate to the Cost Module, then select Payments

  • Click either "Add Your First Payment" or the Add button in the top right corner

2. Upload your Payment Document

  • Click on the Autofill from PDF field to open the document picker

  • Upload your invoice or payment document in PDF format

The AI will immediately begin extracting data from your document. You can also simply drag your document onto the Autofill from PDF field.

3. Review and Finalize Payment Information

  • Review the extracted payment details for accuracy (auto-filled data appears with a purple background)

  • Update the payment status from "Draft" as needed

  • Click Add to complete the process

Always verify auto-filled data for accuracy and completeness before finalizing.

Best Practices

  • Double-check all AI-extracted information before finalizing

  • Use clear, high-quality PDF documents for optimal extraction results

  • Standardize your invoice formats when possible to improve AI recognition

Troubleshooting

  • Issue: AI fails to extract information

    • Solution: Ensure the PDF is not password protected or encrypted, or use the manual entry option to add the Payment.

  • Issue: Incorrect information extracted

    • Solution: Manually correct any errors before adding the payment to the Project.

Tips and Notes

  • The AI Pre-Fill feature works best with clearly formatted invoices

  • You can cancel the process at any time by clicking the "Cancel" button

  • For complex invoices, you may need to make manual adjustments to the AI-extracted data

  • While we are always optimizing our models for best accuracy, always review the extracted information before finalizing your submission.

Security and Privacy

  • Your documents are processed securely using a combination of best practice encryption and data transmission standards.

  • Your data is not used to train any AI or machine learning models.

  • Your data stays within Mastt's hosted environment and is not stored with any 3rd party.

Support File Types

  • Currently, our system works with PDF documents. For optimal results, ensure your documents are digital versions and not scanned. Scanned documents will still work but with lower accuracy depending on scan quality.
