How to Create and Manage Snapshots

Complete workflow guide for project snapshots and version control in construction project management

Snapshots capture your project's state at a specific point in time, creating a permanent record for version control and historical reporting. Use snapshots to preserve data for comparison and what-if scenarios without affecting your live project data.

Before you start:

  • Ensure you have access to the project or program you want to snapshot
  • Consider timing snapshots around key milestones or reporting periods

Steps

Create a snapshot

  1. Navigate to your Projects or Programs (from side navigation)
  2. Click Snapshots in the left side navigation bar
  3. Click the blue + Take Snapshot button at the top left of the page
  4. Enter a descriptive name in the snapshot title field (example: "Monthly Report June 2025")
  5. Set the Current as of date - this represents the last day of your reporting period
  6. Click Create to save your snapshot

View existing snapshots

  1. In the Snapshots section, all saved snapshots appear in a list
  2. Click on any snapshot name to view it
  3. Notice the orange background - this indicates you're viewing snapshot data, not live data
  4. Navigate through different modules (Cost, Risk, Schedule) to see data as it was when the snapshot was taken
  5. Explore all registers (Budget, Contracts, Change Orders, Forecasts, Payments, Cash Flow) within the snapshot view

Access project snapshots from program level

  1. Open a program snapshot by clicking its name
  2. Navigate to the specific project data you want to review
  3. View individual project snapshots that were created as part of the program snapshot
  4. Switch between different project snapshots within the same program snapshot timeframe

Return to live data

  1. Click Back at the top center of the screen to return to your live dashboard
  2. Confirm the orange background disappears, indicating you're back to live data

Delete a snapshot

  1. Go to the Snapshots section
  2. Click the Action button (...) beside the snapshot you want to delete
  3. Select Delete Snapshot from the drop-down menu
  4. Confirm the deletion

Best practices

  • Create snapshots at key project milestones
  • Use descriptive names that include dates for easy identification
  • Remember that program snapshots capture all projects simultaneously
  • Regular snapshots help maintain comprehensive project history for informed decision-making
