Managing Programs in Mastt
Group related projects into one reporting layer in Mastt. See dashboards, costs, risks and cash flow across projects, close financial periods for every project at once, and take program snapshots.
Programs group related projects into one reporting layer. Use them to see your projects' dashboards, costs, risks and cash flow together, and to close financial periods across every project at once.
Before you start
- Programs are available on certain subscription tiers only.
- You need multiple projects that you want to group together.
- You need the right program management permissions.
For help creating a program or adding projects to one, contact Mastt Support. See also How to Create and Manage Programs.
How programs work
A program is a container of defined projects. It automatically pulls their data into one place, so you get a centralised view of everything without re-entering it.
Programs are for reporting and aggregation, not for data entry. Most data entry happens at the project level, and changes there show up in the program automatically. A small amount of data can be entered directly at program level, such as program risks.
Open the program settings
You can open Program Settings straight from a program card or from a program page, the same way you open Project Settings.
Program dashboards
Program dashboards work like project dashboards, so you can resize, arrange and customise tiles in the same way. They also have tiles that aggregate data across your projects:
| Tile | What it shows |
|---|---|
| Projects Table | Every project in the program |
| Project Level Cash Flow | Aggregated cash flow |
| Program Gantt | The phases of every project on one Gantt chart. Each project is a row, its phases are coloured bars, and a marker shows today. Use the phasing group option to group the chart by phase. |
| Client logo | Upload and display your client's branding on the dashboard |
| Budget Breakdown | Budget data, which you can group by project at program level |
Build program reports on the dashboard and export them directly. Reports include data from every project in the program. See Building Powerful Dashboards in Mastt.
Program cost data
The program cost view shows the whole program's financial status and how each project is performing. Data flows up from the projects automatically, so enter and edit cost data at project level.
On the Overall page at program level, you can hide project or program rows in the Overall table and tile to focus on the rows you need.
Program risks
- Open the Risk module at program level.
- Add risks that affect more than one project. These are visible only at program level.
The program risk module also shows aggregated risk data from your projects, so you can spot patterns across the program and see its overall risk profile.
Program cash flow
One of the biggest time-savers is closing a month for every project at once.
- Open the Cash Flow module at program level.
- Hover over a month and click Close off. The month closes for every project in the program.
Once all the payments for a month have been recorded, the month can be closed to show the actual cash flow. To reopen a month for all projects, hover over it and click Re-open. Only administrators can reopen months.
Program snapshots
- Open the Snapshots module at program level.
- Click + Take Snapshot.
- Enter the snapshot details and click Create.
When you create a program snapshot, Mastt takes a snapshot of the program and also creates a snapshot of each project in it. This keeps your reporting consistent at every level. Archived projects still appear in the program and are included when you take a program snapshot. See How to Create and Manage Snapshots.
Troubleshooting
| Problem | What to try |
|---|---|
| I can't see programs | Check your subscription includes programs. |
| Data isn't appearing at program level | Make sure the projects are associated with the program. |
| I can't add a project to a program | Contact Mastt Support for help with program set-up. |
| A snapshot is missing a project | Check the project is associated with the program. Archived projects are still included. |
