How to Archive and Enable Projects

Complete step-by-step guide for managing active and archived projects in construction project management

Archiving projects helps you manage your project quota while preserving all historical construction data. When a project is complete, archive it to free up space for new projects. You can re-enable archived projects anytime you need to add information or make updates.

Before you start:

  • You must be a Workspace Administrator to archive and enable projects
  • Archived projects count as read-only and do not use your project quota
  • All project data is preserved when archived - contracts, variations, payments, documents, and reports remain accessible

Navigate to Project Management

Step 1: Access Admin Settings

  • Click your Name in the top right corner
  • Select Admin from the dropdown menu

Step 2: Open Projects Management

  • Click Projects in the left sidebar navigation
  • View your complete project list showing both active and archived projects

Archive a Project

Step 3: Locate the Project

  • Scroll through your project list to find the project you want to archive or use Filter to search for your project
  • Identify completed projects that no longer need active editing

Step 4: Archive the Project

  • Click the Action button next to the project
  • Select Archive from the dropdown menu
  • Click Archive in the confirmation dialogue to confirm

Result: The project displays an Archived status and no longer counts toward your project quota. All data is preserved in read-only mode.

Enable an Archived Project

Step 5: Locate the archived project

  • Find the project with the Archived chip in your project list
  • Use filters if available to sort by archived projects

Step 6: Enable the project

Note: You must have available project quota to enable an archived project. If you've reached your quota limit, archive another active project first or upgrade your subscription.

  • Click the Action button next to your archived project
  • Select Enable from the dropdown menu
  • Click Enable in the confirmation dialogue to confirm

Result: The status will change to Enabled and the project returns to full read-write functionality. The project now counts toward your project quota again.

Understanding Quotas and Project Deletion

Project Quotas

Your Mastt subscription may include a specific number of active project slots. When you reach your quota limit, you cannot create new projects or enable archived projects until you either archive an active project or upgrade your subscription.

To upgrade your project quota or subscription, see How to Change Your Project Quota.

Project Deletion

Project deletion is not available through the Mastt interface by design—this prevents accidental data loss. If you need to permanently remove a project from your workspace, contact Mastt Support.

Key differences:
  • Archive: Data preserved, read-only access, frees up quota, reversible
  • Delete: Permanent removal, requires Mastt Support assistance, irreversible

Troubleshooting & FAQs

Q: What if I can't see the Archive or Enable options?

Only Workspace Admins can archive and enable projects. Request admin access from your current Workspace Administrator if you need these permissions.

Q: Why can't I enable an archived project?

You've reached your project quota limit. Archive another active project first or contact your Workspace Admin to upgrade your project quota or subscription

Q: What happens to project data when I archive a project?

All data is completely preserved - contracts, variations, payments, documents, reports, and historical information remain accessible. Your team can view and download information but cannot make edits while the project is archived.

Q: How do I know which projects to archive?

Archive completed projects that no longer require active editing. Review your project list quarterly and look for projects inactive for several months as good candidates for archiving.
